Welcome to Nepal Treks and Tour. By booking any trekking, tour, peak climbing, or adventure travel package in Nepal, you agree to the following Terms and Conditions.
These terms apply to all services including Everest region treks, Annapurna trekking, Manaslu region, Mustang tours, Dolpo trekking, Kanchenjunga, Makalu Barun, cultural tours, peak climbing, and customized expeditions.
1. Booking and Payment Policy
1.1 Booking Confirmation
- A 15% advance deposit of the total trip cost is required to confirm your booking.
- Your trip is confirmed only after receipt of the deposit.
- The remaining balance must be paid upon arrival in Nepal, before the trip departure.
All bank transfer charges, transaction fees, or payment gateway charges must be covered by the client.
2. Cancellation and Refund Policy (Before Trip Starts)
2.1 Full Refund (20 Days Rule)
- Clients will receive a 100% refund if cancellation is made 20 days or more before the trip departure date.
- Bank transfer charges are non-refundable.
- Refunds will be processed within 7–14 working days.
2.2 Cancellation Within 20 Days
- If cancellation is made less than 20 days before departure, the 15% booking deposit is non-refundable.
- Any non-refundable costs already paid (permits, domestic flights, hotels, government fees) will be deducted.
2.3 No-Show or Early Departure

No refund will be provided for:
- No-shows
- Voluntary early return
- Unused services during the trip
3. Trip Cancellation Due to Weather or Natural Causes (During the Trip)
Trekking and adventure travel in Nepal depend heavily on weather conditions, especially in high-altitude regions.
If a trip must be cancelled, shortened, or modified due to:
- Severe weather conditions
- Flight cancellations (e.g., mountain airports)
- Landslides
- Natural disasters
- Government restrictions
- Safety risks beyond our control
The following policy applies:
3.1 If the Trip is Cancelled During the Journey

Clients will receive 50% refund of the remaining unused trip days,
OR -
Clients may choose to transfer 100% of the remaining unused trip amount as credit for any future trip with Nepal Treks and Tour.
The future trip credit:
- Is valid for 24 months
- Is non-transferable
- Can be used for any trek, tour, or expedition operated by Nepal Treks and Tour
No refund will be given for services already used, including:
- Accommodation
- Food
- Permits
- Staff wages
- Transportation already arranged
4. Changes in Itinerary
Nepal Treks and Tour reserves the right to modify itineraries due to:
- Weather changes
- Health conditions of participants
- Trail conditions
- Political situations
- Natural disasters
- Government regulations
All decisions will prioritize client safety.
No compensation will be provided for minor itinerary adjustments required for safety.
5. Travel Insurance (Mandatory Requirement)
All clients must have comprehensive travel insurance that includes:
- High-altitude trekking coverage
- Emergency helicopter evacuation
- Medical treatment
- Trip interruption
- Personal accident coverage
Nepal Treks and Tour is not responsible for medical or evacuation costs.
6. Health and Physical Fitness
Clients must:
- Be physically and mentally fit for trekking
- Inform us of any medical conditions before booking
- Follow guide instructions during the trip
Failure to disclose health conditions may result in removal from the trip without refund for safety reasons.
7. Client Responsibility
Clients agree to:
- Respect local culture and traditions
- Follow environmental conservation rules
- Respect guide and staff decisions
- Follow safety instructions at all times
Disruptive or dangerous behavior may result in removal from the trip without refund.
8. Permits and Government Regulations
All necessary permits (National Park, TIMS, Restricted Area permits) will be arranged by Nepal Treks and Tour.
Permit fees are:
- Non-refundable once issued
- Subject to government change without prior notice
Clients must provide:
- Valid passport copy
- Required photographs
- Accurate personal information
9. Price Adjustments
Trip prices may change due to:
- Government tax changes
- Permit fee increases
- Fuel price changes
- Flight fare adjustments
We reserve the right to adjust prices if required before final payment.
10. Force Majeure
Nepal Treks and Tour shall not be liable for delays, changes, or cancellations caused by events beyond our control, including:
- Natural disasters
- Pandemics
- Political instability
- War
- Government restrictions
- Airline delays
11. Complaints and Dispute Resolution
If any issue arises during the trip:
- Inform your guide immediately.
- Contact our Kathmandu office.
All disputes shall be governed by the laws of Nepal.
12. Acceptance of Terms
By booking with Nepal Treks and Tour, clients confirm they:
- Have read and understood these Terms & Conditions.
- Agree to all policies mentioned above.
- Accept risks associated with adventure travel in Nepal.
