How to Book

How to Book Your Nepal Trek Online

Booking a trek with Nepal Treks and Tour takes a few minutes and can be done entirely online, from anywhere in the world. Here is how it works:

  1. Choose your trek and your dates. Pick a fixed group departure from our Group-Joining Treks Nepal dates, or choose a private trip and travel on the date you like — see Private Treks Nepal.
  2. Fill in the booking form on the trek page. We ask for your name, email, phone, departure date, number of travellers and whether you want a fixed group departure or a private trip.
  3. We confirm by email or WhatsApp. We check availability for your date and confirm your booking.
  4. Pay the advance deposit. Your booking is confirmed once we receive the deposit (see below).
  5. Pay the balance on arrival. The remaining balance is paid when you arrive in Nepal, before the trip departs.

Deposit — How Much and How to Pay

An advance deposit equal to 20% of the total trip cost is required to confirm your booking, under our Terms and Conditions. The trip is confirmed only once we receive the deposit. The exact deposit shown on the booking form for your trek applies at the time of booking.

You can pay by bank transfer or through our secure online payment gateway — see our Custom Payment page. All bank transfer, transaction and payment gateway charges are covered by the client. The remaining balance is paid on arrival in Nepal, before the trip departs.

Cancellation and Refund

  • Cancel 20 or more days before departure: we refund the trip cost in full. Bank transfer charges are not refundable, and refunds are processed within 7–14 working days.
  • Cancel less than 20 days before departure: the 20% booking deposit is not refundable, and we deduct costs already paid — permits, domestic flights, hotel accommodation and government fees.
  • No-show, early departure or unused services: no refund is given.

Lukla Flights and Weather Policy

Flights to Lukla run in mountain weather and can be delayed or cancelled by bad weather. Keep at least 2 buffer days at the end of your trek for the return flight to Kathmandu — this is our recommendation for every Everest trek.

If a trip is wholly or partly cancelled during the trip because of bad weather or a natural disaster, you choose one of these options: a 50% refund of the remaining unused trip days, or a 100% transfer as credit for a future trip with us (valid for 24 months, non-transferable, usable for any trek, tour or expedition). There is no refund for services already used — accommodation, food, permits, staff wages and transport.

Travel Insurance — Mandatory

Travel insurance is mandatory for trekking with us. Your policy must cover high-altitude trekking, emergency helicopter evacuation, medical treatment, trip interruption and personal accident coverage. We cover our guides' and porters' insurance, but we are not responsible for the medical, hospital or evacuation expenses of clients.

Before You Book — Please Note

We may change an itinerary in part or in full because of weather, health, trail conditions, political situations, natural disasters or government rules; safety always comes first, and there is no compensation for minor changes. Permits are arranged by us and are non-refundable once issued. Prices may change before final payment if government taxes, permit fees, fuel or flight fares rise.
